What happens if we find a quality issue with my order?

This article describes what buyers can expect when inspection finds a quality exception on an order, including date code and packaging exceptions, quantity variances, and when a line is cancelled and relaunched.

We inspect every order at our hub before it ships. We notify you if we find something that does not match the listing.

How you will hear from us

We email you with the part number, your order number, and what inspection found. The order will be held at our hub for 48 hours while we wait for your response.

Findings where we request your response

To request a date code discount, contact your sales rep or respond to your order confirmation email and we will arrange it.

If you accept

We record your acceptance and update your order if the total changed. You will receive an updated order confirmation and invoice, and the parts ship once payment is received. See What are the payment terms? and What shipping methods are available?

If we received your payment before the order total changed, you will receive a credit note or an additional invoice. For credit notes, if you would rather have the difference returned to your original payment method, contact us and we will arrange it.

If you do not accept

You can discuss your options with your sales rep. If the part is cancelled, we remove the line from your order and issue a credit note to your account if payment has been made, which you can apply to future orders. If you would rather have the payment returned to your original payment method, contact us and we will arrange it.

The parts stay at our hub and go back up in a new auction with corrected information, so you can bid again if it still fits your needs. See Why was part of my order cancelled and relaunched?

Findings that always cancel the line

Some findings, if not accepted at the original value, are cancelled from the order and re-launched on a 5-day auction. They are:

  • A date code that differs from the one published on the listing. A published date code is binding on the seller, so there is no discount option here.

  • A different part than the one listed

  • Physical damage

  • Pre-programmed parts

  • Several issues on the same listing

We cancel the line, issue your credit note, and relaunch the corrected part so you can bid again if you want to.
